UVAFinance Welcomes Nelson Del Rosario as Business Systems Analyst

The del Rosario family
This February, Nelson del Rosario joined the UVAFinance team as a Business Systems Analyst. With a background in project management and plenty of Salesforce system experience, he brings with him valuable, insightful knowledge that will contribute towards his work in Business Systems Analysis.

Originally from the beautiful island of Kauai, Hawaii, del Rosario earned his Bachelor's degree in Civil Engineering from the University of Hawaii at Manoa. He worked as a Project Manager in the construction industry for several general contractors in Honolulu, where he gained hands-on experience working closely with project stakeholders, honing his skills in managing complex projects and ensuring seamless operations.

Del Rosario moved to the East Coast with his family in Fall 2020. His wife, who currently serves active duty for the U.S. military, pursued a master’s program. Following his wife's completion of the program, they moved to Charlottesville, VA. During this time, he pivoted from his construction career into IT. He earned his Project Management Professional (PMP) certification and further expanded his technical skills by obtaining his Salesforce Administrator certification.

Del Rosario’s path to UVA was prompted through a friend who works in UVA's ITS CACS department, who was looking for a Salesforce Admin. Initially joining as a contractor, he transitioned to a full-time role as an IT ERP Solutions Engineer. Eventually, he found his way to his current role of Business Systems Analyst with UVAFinance because of their program's growing Salesforce involvement.

As a new Business Systems Analyst with UVAFinance, del Rosario says he's "still learning the ropes right now," but is eager to take on the variety of tasks, cases, and projects that arise, and is committed to further developing his skills. He looks forward to expanding his expertise by taking on different responsibilities within these projects.

In his free time, he likes to spend time with his family, taking his kids to new parks or on the variety of beautiful hiking trails Virginia has to offer. He also loves fishing--bass in particular. Del Rosario and his wife also enjoy wine tastings, exploring new restaurants, and vacations with their kids.

Multi-Factor Authentication (MFA) Fatigue: What it is and how to prevent an attack

Multi-factor Authentication (MFA) is a critical line of defense against cyber threats.  MFA requires users to provide multiple forms of identification when logging into sensitive programs or accounts. In most cases, users enter their password which then triggers a one-time code or authorization message to be “pushed” to a secondary device, usually via an authentication app on your mobile phone.  UVA uses DUO for MFA.

MFA has proven to be a successful way of preventing unauthorized access.  However, users can feel annoyed by frequent pushes and cyber criminals are taking advantage of that via an increasingly prevalent attack known as MFA Fatigue.

MFA Fatigue has opened a new opportunity for cyber-attackers creating a prevalent threat to users and networks.  An attacker who has obtained a username and password will bombard a victim with multiple MFA push notifications until they have annoyed a victim to the point of approving a notification just to make them stop.   

Here's what happens

1. An attacker will overwhelm a user with push notifications, bombarding them with repeated requests for approval.

2. A user becomes frustrated with the constant interruptions and will eventually approve one, just to make them stop.

3. Once the user has approved access, the attacker has bypassed the need for any further authentication.

How to protect yourself

1. Stay alert – You know to expect a push notification when you have logged into a system.  Stay aware and decline any push notification that you know you did not initiate.  You should NEVER receive multiple push notifications for a single login. (Note: After approximately 10 DUO declines, your account will be locked for 30 minutes.  This alone should deter an attacker.)

2. Reset your password – If an attacker triggered a push notification, it is safe to assume they have somehow obtained your password.  Reset it here.

3. Clear your cookies and cache regularly. Attackers now target session cookies—small data fragments stored by browsers to maintain active logins.

4. Report it – Contact UVA ITS via the Help Desk or via email at IT-Security@virginia.edu and report the problem.

Raising the Bar on Support: The Finance Solution Center’s White Glove Approach

Recently, the Finance Solution Center has been piloting a “White Glove” model for handling complex and sensitive issues, ensuring that schools and units receive the highest care and efficiency.

This approach is more than just providing answers—it’s about building strong connections, offering timely and proactive support, and bridging the gap between functional expertise and frontline service. Two key players in this initiative, Kellyn Morris and Dawn Wood, have been instrumental in making this vision a reality.

Focused Expertise, Real Results

Dawn and Kellyn have integrated into outreach projects with Accounts Payable (AP) to tackle two critical areas: Match Exceptions and Open Obligations. By embedding themselves into these workflows, they’ve provided hands-on support, cutting through bottlenecks and streamlining processes:

Dawn has facilitated the clearing of $60 million in open obligations on purchase orders, ensuring smoother financial operations for departments across the University.

Kellyn has facilitated the resolution of two-thirds of UVA's aging match exceptions, significantly improving invoice processing efficiency.

Beyond this, Kellyn has also revolutionized the service experience for international suppliers, responding to cases within two business hours—a drastic improvement that prevents delays and keeps transactions moving smoothly.

An Improvement for Stakeholders

This targeted, high-touch approach hasn’t gone unnoticed. Ryan Ellis, Accounts Payable Manager, shared how this collaboration has transformed support for AP and the Finance Solution Center:

“The White Glove Programs between AP and the Finance Solution Center have increased productivity and provided stakeholders with timely responses for solving Match Exceptions, Open Obligations, and Foreign Supplier onboarding/payments. Both teams have been able to focus on their respective roles between functional outreach and technical outreach.”

By initiating communication in Salesforce, both teams can collaborate within a single communication thread. This visibility allows AP to address system issues in Workday while the Finance Solution Center provides guidance to stakeholders on clearing holds and processing invoices. In many cases, these efforts resolve multiple issues at once, expediting workflows for all involved.

The foreign supplier onboarding process has also become far less stressful thanks to structured case routing and regular follow-ups. From navigating international policies to managing language barriers, Kellyn and the team ensure every case is followed through to completion, keeping stakeholders informed and confident throughout the process.

A New Standard for Service

The success of this White Glove approach underscores the importance of stronger connections, streamlined communication, and proactive problem-solving. Thanks to Dawn, Kellyn, and the entire Finance Solution Center team, UVAFinance is setting a new standard for service—one that’s responsive, effective, and always stakeholder-focused.

Anders Coe Receives His VCA Certificate

This March, Anders Coe passed his VCA exam and received his VCA certificate after completion! Coe remarks that the class was an interesting and valuable experience, and that he is now starting to research the process of earning his VCO certificate, and will look towards taking the respective class/exam soon. Coe is thankful for the encouragement and support he received from the Procurement and Supplier Diversity teams as he worked towards his VCA certification. Congratulations on this achievement and all of your hard work paying off Anders!

DMV Real ID Event: April 29, 2025

Make your appointment now!
If you're still looking to get your REAL ID, UVAFinance has you covered! 

Beginning May 7, 2025, the federal government will require you to present a REAL ID- compliant driver's license or ID card, or another federally approved form of ID to board a domestic flight or enter a secure facility.

Make an appointment to obtain your REAL ID at Carruthers Hall on April 29th. Fees and documentation requirements will be emailed out closer to the dates of the event.

UVAFinance Welcomes Alex D'Agostino as Business Systems Analyst

The D'Agostinos
This February, Alex D'Agostino joined UVAFinance as a Business Systems Analyst, bringing with her a widespread understanding of Salesforce and a finely tuned set of technical skills from her previous work in the ITS - CACS department at the University. D'Agostino will work closely with the Finance Service team, optimizing business systems and utilizing her Salesforce expertise. 

D'Agostino is a Charlottesvillian, born and raised. She attended Radford University where she received her degree in interdisciplinary studies. After graduating and prior to her time at UVA, D'Agostino taught general education for eight years; fifth grade for five years and sixth grade for three. During her time teaching, D'Agostino developed a variety of skills that have proved useful in her careers since, particularly communication, learning to adjust to change efficiently, creative approaches to problem solving, and reading and analyzing data. 

With most of her family still in Charlottesville, some of them being UVA employees, her decision to transition from teaching to work at the University (initially in the ITS - CACS department) was almost natural. On reading the job posting for Business Systems Analyst, she says "it was kind of a perfect fit--what they were asking for and what I had learned the past few years went hand in hand." D'Agostino is looking forward to the robust opportunities that the Salesforce team in Finance has to offer, allowing her to further her knowledge and continue to grow. 

As a Business Systems Analyst, D'Agostino will work primarily with Salesforce through the Finance Service team, optimizing UVAFinance's business systems. She says, "we strive to push for positive user experience with efficiency and want to continue to try to improve processes, making sure our team sails as smoothly as possible."

In her free time, D'Agostino enjoys finding fun activities to do with family and friends, her two daughters being her major focus. She loves reading, crafting, and creating--all the time! D'Agostino makes polymer clay jewelry, which she has sold at markets, and enjoys everything from crafting handmade Halloween costumes, to constructing multi-media artwork and decor. 

She says, "I'm a creative person at heart, which is also why I love working with technology--there's many ways to solve a problem or to build a process, and I love finding solutions and implementations that fit like puzzle pieces!"

Payroll View Changes for Assigning Costing Allocation

As a part of the R1 Release on March 17, Workday introduced updates in the view of the Assign Costing Allocation Task.  


Let's walk through an overview of what changed.


New Display for Proposed Costing Allocations Tab

Users can now add, edit, remove, and sort costing allocations by start or end date.  Users are also now able to copy costing allocations of a specified date range.

The new display improves visibility into individual costing allocations by either showing existing costing allocations for specific costing criteria or an empty grid if no costing currently exists.

Point of Caution

Some users have found it easy to accidentally delete a costing allocation with the minus sign within the user interface.  Please be careful when working in this task to avoid accidental removal!

A growth mindset is the belief that abilities, intelligence, and talents can be developed through dedication, hard work, and perseverance. This concept, popularized by psychologist Carol Dweck, contrasts with a fixed mindset, where individuals believe that their qualities are static and unchangeable. In the context of professional development, a growth mindset encourages individuals to seek out challenges and learn from mistakes.

Adopting a growth mindset can help you stay motivated and engaged, even when faced with obstacles or setbacks, as they are seen as learning opportunities rather than failures. By viewing challenges as part of the learning process, you will be more likely to take on new responsibilities and engage in professional development and lifelong learning.

Some key benefits of having a growth mindset include:
  • Increased Motivation and Effort: If you believe that your abilities can improve with effort you will be motivated to work harder and stay committed to your goals.
  • Resilience: You will be better equipped to handle setbacks, and view failures as stepping stones to success, rather than as reflections of your abilities. This is even more important during times of uncertainty like we are facing now.
  • Continuous Learning: You will be motivated to seek new knowledge and opportunities for professional development – enhancing your skills through conferences, courses, workshops, certifications, books, articles, and podcasts.
  • Adaptability: having a growth mindset helps you remain flexible and open to new methods, tools, and processes.
  • Leadership Development: A growth mindset is essential for leadership, as it promotes coaching, mentoring, and continuous improvement.
By adopting a growth mindset, you can take ownership of your development, leading to greater job satisfaction, career advancement, and personal and professional fulfillment.

Tech Tips from our LSPs: Zoom Companion Mode

Welcome to Tech Tips, a new recurring feature on the blog! Brought to you by our talented Local Service Partners (LSPs), this series will share quick, actionable advice to help you make the most of the technology you use daily. From handy shortcuts to game-changing tools, these tips are designed to show you how tech can boost productivity and simplify your work life.

In this edition, we'll learn how to make sure remote users can hear all attendees (in-person) in Zoom Room meetings!

With Zoom Companion Mode, in-person attendees can use their laptops as a microphone to help improve sound quality for remote users. This mode is available with Zoom v 6.3.10.

1. First, make sure your Zoom App is up to date. Click your profile icon, then Check for Updates from the drop down menu. 

2. Start by selecting the Pair button, next to the Notifications icon (bell). 

3. Then, select the Connect as a companion option.

4. Now, the Companion mic is active and available to use!

That's it! Now remote users will be able to hear you from your laptop's microphone! If you need help using Zoom Companion Mode, please reach out to our LSP Team at finhelp@virginia.edu.

This week, several of our UVAFinance team members had the privilege of representing the University at the SACUBO 2025 Women's Leadership Forum in Virginia Beach! The forum, hosted by the Southern Association of College and University Business Officers (SACUBO), brought together women leaders in higher education finance to share insights, build connections, and grow as professionals. 

With the theme "Waves of Wisdom: Empowering Women Leaders," the event provided a platform for inspiring discussions on leadership, career growth, and the future of finance in higher education. We're proud to have our team engaging in these important conversations and bringing back new ideas to strengthen our work at UVA. Congrats Ann!
Ann Paxton's Transition to Service Experience & the Finance Solution Center

Ann Paxton originally started as a temporary at the front desk with UVAFinance in September of 2020, and became a regular employee in July of 2021 as a Business Services Associate. She worked with the Business Services Team under Stacey Rittenhouse until this February. Now, Paxton is beginning her work under Joey Carls as Senior Experience Associate with his Finance Solution Center team. She will be helping with cases that need more care after escalation to make sure questions are answered quickly and completely, and with attention to the root cause of the issue. She's embracing this new role as a self-proclaimed "Finance Detective." Paxton's work with Stacey's team has set her up to understand the systems UVAFinance uses, and who to turn to for expertise on cases. Dawn and Kellyn have allowed her to shadow them and have "been so helpful while I've been training!" Congratulations on this transition Ann, we know you will do great things!

Changes to Workday: Global Navigation & Assign Costing Allocation Task

Good changes are coming!
We have an exciting new update to your Workday Menu! With the upcoming Workday Release 1 on March 17, we're getting a big improvement to the Global Navigation Menu as well as changes to the Assign Costing Allocation Task.

Changes to Global Navigation:

  • New Categories: Workday is introducing predefined categories to help organize the worklets in your menu.  The worklets you use will be organized into categories such as professional, team, personal, organization, and more.  
  • No More 20-Worklet Limit: Now, you can add as many worklets to your menu as you want! Workday will automatically sort them into the right categories for you.

Changes to Assign Costing Allocation Task

Workday will also update the layout of the Assign Costing Allocation task.  The enhancements streamline the user experience of adding and removing proposed costing allocations while also simplifying the workflows for revising, approving, and reviewing costing allocation changes for workers. You'll note a new display for the Proposed Costing Allocations tab, an updated display of Existing Costing Allocations, and the ability to access these tabs from your inbox when you configure the Assign Costing Allocations task as a subprocess.

Great News: Your Quartzy Subscription is Free for Another 3 Years!

Another 3 free years!
Quartzy, a popular program that UVA labs use for Inventory Management, has generously agreed to provide free subscriptions for the entirety of UVA for another three years.

In 2023, we negotiated two years of free subscription while other public entities pay fees, alongside a discounted rate for the years 3-5, a $250 credit for each lab, and free onsite training sessions following the punch-out implementation. Last year, we also negotiated and implemented the free shipping and handling. 

This new agreement with Quartzy provides the labs an additional three years of free subscription to their Inventory Management System, which is a significant cost-saver for UVA. The value of the subscription is $150 annually per user, and with 1,444 total users at UVA (of which approximately 1,000 are active), this results in savings of $150,000 per year, and $450,000 over the next three years! By purchasing scientific supplies from Quartzy last year, we saved about $167,000 in product cost, and $20,000 on shipping and handling fees from the negotiations. 

These covered subscriptions mean UVA users can explore all Quartzy's features and keep labs running smoothly without worrying about fees!

Emotional & Financial Well-Being Classes 

The above emotional and financial well-being classes are eligible for earning $25 Hoos Well rewards. You must be enrolled in a UVA Health Care Plan to ear awards. 

New WeightWatchers Benefit 

March is National Nutritional Month and Hoos Well has added a new WeightWatchers benefit for employees and spouses enrolled in a UVA Health Plan. WeightWatchers Core and Premium memberships are now available for no monthly fee

  • To access the offering, log in to the Hoos Well Portal and access it through the Benefits list. 
  • Already a WeightWatchers member? Find steps for transferring your account through the UVA/WW landing page.

Employees not on an eligible health place can receive discounted monthly rates. WeightWatchers Medical Clinic is not included in this benefit. 

Take a Health Assessment 

Take the Health Assessment through the Hoos Well Portal and you'll earn $100 in rewards while gaining valuable and actionable insight into your current state of health!

UVA’s Office of Sponsored Programs has been looking for an efficient and effective way to share critical, real-time updates with the research administration community—covering everything from sponsor updates and policy changes to professional insights and procedural guidance. 

After exploring several approaches, they found the perfect solution: launching a dedicated blog! This new platform will serve as a key connection point between OSP and the field, much like the UVAFinance blog does for the finance community.

Although the blog's content and cadence are still in the works, it will be an invaluable resource for OSP stakeholders.
