Reporting & Analytics Release Notes for January 25

New and enhanced reports!

Finance Reporting & Release Notes for January 25 have been posted to the UVAFinance website.  


This update includes significant new reports and modifications that have been released between December 8th and January 19th as well as known issues that we are investigating or working on currently.

We now have over 100 million Journal Line records in the data warehouse and the Workday Journal Lines app! If you are curious about some of the Workday Finance statistics, check out the community sheet “General Ledger Metrics” in the Workday Journal Lines app.

Workday

  • NEW Find Accounting Adjustments that have a Grant Worktag report - This can be used to look up any accounting adjustments that have been moved either on or off a grant.  It defaults to Supplier Invoice transactions but can be used for Expense Reports as well.  The report shows all the worktags moved both to and from. 

UBI

  • Workday Journal Lines – Journal Lines Detail -
    • The Journal Memo field has been modified to contain all available information for a given Journal Line including the header memo, line memo, and Supplier Invoice and Expense Report details that were not previously available.  The Journal Line Memo field now contains a note stating that it is no longer available; if you have a community or personal sheet, you should adjust it for this change.
    • For Supplier Invoice transactions, a field has been added that contains a link to the PO so you can directly look up PO information without navigating through the SI document.
  • Workday RAD -
    • The estimated F&A on Grants now accounts for basis limits on what can be charged to Sponsors where those exist.
    • Modified the code so that SAFM obligations are not removed before the completion of each semester.
  • Coming soon - new UBI Journal Line apps to help manage the data volume. The target release is February:
    • Workday Journal Lines – Actuals Only
    • Workday Journal Lines – Income Statement Only

Procurement & Supplier Diversity Services Outreach Update

PSDS is all about outreach!

Procurement has had a busy start to 2024.  Check out the outreach they've engaged in on Grounds and in the community this January.  Have an idea for an outreach opportunity?  Contact Ajoni Wynn-Floyd.  


Here's where they've been: 
  • Attended The Charlottesville Regional Chamber of Commerce Business Women's Round Table Event on January 18, 2024. We were able to network with prominent woman-owned businesses in the Charlottesville Region.
  • Presented local supplier spending data to the School of Engineering.
    • It is crucial to inform those with purchasing power about the suppliers they are doing business with and the University's spending initiatives with local and SWaM suppliers so that they can use that data to drive future purchasing decisions.
    • We presented to the School of Engineering on Thursday, January 18, 2024. This event was highly engaging and well-received.  Thank you to the School of Engineering for allowing us to present their team. We look forward to providing updated spend performance and fostering relationships with new SWaM vendors.
  • Attended Virginia Hispanic Chamber Open House Event: This event was hosted in Richmond Virginia on January 25, 2024. The event allowed community partners to connect with local business owners and provided details on how to get involved with their bilingual business program AVANZAR.
What's coming up for PSDS:   
  • Exhibiting at the 2nd Annual Construction Conference, hosted by the Virginia Department of Small Business and Supplier Diversity and the Virginia Department of Transportation on February 6, 2024.
  • Annual State of the Community hosted by the Charlottesville Regional Chamber of Business. on February 15, 2024.

T&E Card: Report a Leave of Absence

Report a leave of absence to keep your card safe!

T&E Cardholders are required to report if they will be going on leave for more than 3 weeks. Their card will be suspended in their absence to ensure that the T&E Card is secure while the cardholder is away. 
The cardholder should submit a T&E Card Change Request Form before they go on leave to have their card suspended and again once they return from leave to have their card reinstated.


Reoccurring and upcoming payments: Cardholders should communicate with their department to make sure that upcoming payments are set up on a different T&E Card in their absence. Another employee can apply for a T&E Card if needed.

T&E Card Expenses: A T&E Cardholder can assign an Expense Delegate to assist with expensing T&E Card transactions in their absence. If an expense is identified for an employee on leave, the department may reach out to their Expense Ambassador as well for assistance submitting the transaction.

Leave during T&E Card Annual Training: If a cardholder is on leave during cardholder training and does not report being on leave using a card change request form, their card could be at risk of being canceled if they do not complete their training in time.

Mandy Eames, Finance Supervisor, Data & Technology

What do you do as a Finance Supervisor? 

I supervise half of the Workday Support Team (the half that is focused on procure to pay) and am personally responsible for payroll accounting, business assets, projects, and cross-functional Workday capabilities.  A lot of the work I do revolves around managing and maintaining our workflow and making sure we’re moving forward in cooperation with other finance areas.  I train our team in Workday functionality and also troubleshoot for our users via our Salesforce tickets, and perform a lot of configuration and testing. 

Who do you work with regularly?

I work closely with my team members, Donna Cruzado, Lisa Atkins, and Jonathan Agop.  Because of the troubleshooting I do for users, I end up working with pretty much everyone across Grounds.  I’ve also spent a lot of time working with expenses, payroll, fixed assets, and project teams.

What seasons are busiest, or what rhythms exist in your job?

There is an ebb and flow to everything. Fiscal year-end is a big push for Workday cleanup and closing things out.  Twice yearly, Workday issues new releases. That’s a busy time for me and my team because we must test to ensure that the new code introduced by Workday doesn’t conflict with our existing configuration.  Workday releases the new code to a testing tenant and we test it extensively and adjust if necessary.  We are actively engaged with the larger Workday community, and we interact with other Workday customers all year long to problem-solve and find solutions for our users.

What might surprise people about the work you do/this role/your department or area?

People might be surprised to realize the volume and complexity the team takes on, because although we’re not often thought of as a tech group, we are the technical team for Workday.  People are also surprised at how dedicated we are to continuous improvement: we’re actively engaged in improving processes, workflow, and configuration all the time.  We always have an impressive output, but the team puts in a lot of extra time during the heavier seasons.  We’re getting better at the juggling act we must do . . . I have seen so much growth in our team since going live.  Our whole team really does love helping people, and we would love to have Workday work perfectly for UVA.  We do our best to construct solutions for users that make things work better for them.  When we have to tell people “no,” it’s not because we don’t want to give people what they want, it’s because we have to work within Workday’s parameters.

What do you like best about working in UVAFinance?

The people, full stop.  There is a genuine camaraderie between the departments where I feel welcome in every room.  I never feel uncomfortable working with any department, and that’s a big deal especially because I’m remote.

How do you connect your work with the UVA Finance Values?

I take my role seriously, and so does my team.  We’re always seeking opportunities to expand our knowledge base both with classes and learning from one another and the greater Workday community.  We constantly improve our knowledge so that we can provide accurate solutions and a high level of service.  From a collaboration standpoint, we work alongside departments to maintain open avenues of communication so we can align our goals with theirs.  That’s how we create an environment for innovative opportunities.  As we work with others, we provide training and recommendations that move us toward creative solutions that provide reliable results.  The recent DISC assessments give us another tool to hone our communication skills, tying everything together to push us to strive for excellence.  The cherry on top of everything is that we love helping – yes, our position is very technical, but at the end of the day it’s a customer service position.  Everything we do can be done with that in mind.

Susanna Huang, Business Analyst

What do you do as a Business Analyst?

I am involved in tactical processes that provide solutions for university and external stakeholders. This includes troubleshooting Jaggaer and Workday integration errors, assigning roles/access, answering customer inquiries in Salesforce, and conducting data analysis to support special initiatives for leadership decision-making. I am also involved in strategic processes that identify new technologies, and I design process improvements to enhance current business practices across various departments. As the system administrator for the UVAMarketplace, I ensure that the environment showcases suppliers who provide state-of-the-art goods and services at competitive prices. I have implemented and enhanced Punchout catalogs, such as Quartzy, Linde, Creative Office, Haberdasher, Aireco, and RGH/Staples. 

Who do you work with regularly?

I enjoy working with my team from Business Solutions & Data Analysis. Our team dynamic is quite balanced, with a solid foundation of mutual respect and understanding. I love collaborating with other colleagues from PSDS on cross-functional projects. Notable projects include the “High Impact Invoice Initiative” and relaunching the “Goods & Services Guide”. My interactions extend beyond PSDS to other UVAFinance units, such as Workday Support, User Success, Change Management, and Business Systems. Shout out to them! Through answering Salesforce cases, I have developed meaningful relationships with many departments, allowing me to empathize with the issues that they go through so we can work towards practical solutions. Lastly, I work with various suppliers and lead the effort to integrate their Punchout catalogs, which ensures a seamless procurement process for all stakeholders. 

What seasons are busiest, or what rhythms exist in your job? 

Besides fiscal year-end when everyone is busy closing the books, the weeks leading up to the launch of each new Punchout catalog are also busy. Each Punchout launch demands meticulous planning, coordination, and communication with departments to ensure a seamless transition into the Marketplace. For our team as a whole, there are no cyclical busy seasons–there is a new challenge every day for us to tackle.

What might surprise people about the work you do? 

We might not have the answer to your question. However, we will not say “I don’t know” and leave you out in the open without explanation. We go the extra mile to work with you to research the issue and create workarounds with the current tools and limitations. Because our team is a central solution and data hub, we must cater to many departments and internal functional teams. To make an informed, sound judgment, we have to think ten steps ahead to understand 1. ) the root cause, 2.) the feasibility of possible solutions and workarounds, 3.) the operational implications for various groups of stakeholders, and 4.) rules, regulations, and internal procedures that govern the process. We evaluate ideas holistically with data-driven approaches, which ensures objectivity and practicality.

What do you like best about working in UVAFinance?

I have many opportunities to work with diverse groups of people and learn something new each day. Knowing my work is valued, I like having that entrepreneurial spirit to create something impactful. Since data analysis is my second nature, I love working with data, finding hidden insights, and transforming them into compelling adventures

 How do you connect your work with UVAFinance values? 

I am a proud member of the UVAFinance team and I take pride in its reputation. The values I resonate with the most are being a “Collaborative Partner” and an “Impeccable Source of Information.” I collaborate with the university community and external stakeholders to promptly provide helpful, accurate, and practical solutions.

New Mass System Access Request Process is LIVE

The updated process is live!

The new process for requesting more than 25 finance security roles is live as of the morning of January 25.  

What's new about the process?  For users, not much except for where they submit their mass request:  instead of sending an "Ask Finance" email, mass upload templates will be submitted via Workday.  

This change will allow the Workday Support Team to automatically capture the approvals required to assign roles and will reduce manual labor.  This should result in a smoother, quicker process!

We've prepared a Quick Reference Guide (QRG) to walk users through the mass upload process.  Access it here. 

Crystal Tapia of the Workday Support Team will also visit the February 7 Fiscal Administrator's meeting to review the update.

NEW: Workday Research Administration Dashboard Provides Insight for PIs

Providing PIs with a comprehensive
look at their portfolio

The Office of Sponsored Programs and UVAFinance's Business Intelligence Team have been working together to provide a version of the Research Administration Dashboard (RAD) just for principal investigators, and after much crafting and testing, it's finally here!

The Workday RAD app for PIs is a new app in UBI that offers a streamlined version of the existing RAD app. The RAD for administrators has been around since 2018, garnering rave reviews from administrators all across Grounds.  After the go-live of Workday Financials in 2022, the dashboard was reassembled to pull data from Workday. 

Nathaniel Hixon, Director of Research Administration in the School of Education and Human Development, says the new app will make grant-related financial data more readily accessible to faculty and staff.  Says Hixon, "The new dashboard will help address a critical need that has been evident since we transitioned to Workday."

The app is simple for busy PIs to access and use.  When a PI logs in, the app dynamically filters the data to show only their awards.  

"We're excited about what this new tool offers," says Jingyi Fan, Assistant Director of Research Administration in the School of Engineering.  "It provides our PIs and admins a comprehensive look into their sponsored research portfolio and a more user-friendly experience in accessing and understanding financial and payroll data on their sponsored funds."

The process for accessing and using the Workday PI RAD app is also simple.  You can find training, resources, and videos on the OSP webpage.

Two Tips for Faster Responses

Tips from the "Ask Finance" Team

Our aim in the Finance Solution Center is to provide prompt and accurate service. Your email to “AskFinance” launches our data collection and research process which may include engagement with subject matter experts. 
As those monitoring cases through the Customer Portal can attest, this sometimes involves a flurry of messages between multiple individuals as we troubleshoot and collect information. 
We want to remind you of two ways you can help us respond promptly.


Multiple recipients listed in your email to AskFinance

When individuals reply to these email messages, duplicate cases are generated with AskFinance which not only causes confusion but also slows our response times. The Accounts Payable processing team also experiences duplication with similar email messages directed to vendor-invoices@virginia.edu.

If you wish to have specific persons involved in the case, it is best practice to make a note to that effect in the body of your email. Please avoid adding multiple recipients to the To, CC, and BCC lines. The User Success Team will loop in all necessary individuals as we seek a satisfactory resolution.

Provide a high level of detail for agents

When contacting AskFinance, a few common details will be useful as agents review your case and determine how best to support you. Please consider including any relevant information including:
  • What are you trying to achieve?
  • Which systems, processes, or policies are you using to support this outcome?
  • Have you consulted resources on the UVAFinance website to seek support?
  • What unexpected results or system errors have prevented you from achieving your goal? Have you encountered this issue in the past?
  • What document or transaction numbers (e.g. ER-00012345) are related?
  • What other pertinent information (e.g. documents, communications, screen captures, report parameters)?
The inclusion of as much detail as possible will reduce the amount of back-and-forth exchange with the User Success Agent assigned to your case and should result in a more swift resolution to your question or issue.

Past Due Date Error on December 2023-24 Account Certifications

You may not be as behind as it seems!

December Account Certifications were created with the incorrect Past Due date for Rector & Visitors and Southwest Higher Education Center.  As a result, all December Account Certifications for these two companies will show as Past Due even if they are completed by January 30.  


The Past Due date cannot be changed once the Account Certifications are created, so unfortunately, they will continue to show Past Due regardless of completion.  Please keep this in mind if you pull any data related to Account Certifications that are Past Due or were Past Due when completed.

If you opted out of a paper version, you can access your W-2 in Workday.  Just log in, click the "My Pay" icon, then choose "My Tax Documents."

Paper copies will be mailed before January 31 (electronic copies of these are available on February 1).

Anders Coe Joins the Strategic Sourcing Team

Anders Coe has spent the past two and a half years in Procurement learning everything he could about how the department works with its UVA partners and vendors. That knowledge will be a strong foundation for him to build on as he now joins Procurement’s IT and Scientific Discovery Team as a Sourcing Specialist.

Coe began his tenure in UVAFinance in 2021 as a Customer Experience Lead, then became a Finance Generalist on the Expense Team as the Finance Strategic Transformation project ramped up.  He says that path and his time working with the Workday Finance project allowed him to learn a lot and get a broad sense of how things work in Procurement and in Finance in general.

“I am a big fan of always learning more about what we do as an organization,” he says.  “It’s easy to get siloed and just focus on our tasks and forget why we do it.” 

In his new role, Coe will help the UVA community with their requisitions and purchases, work with vendors to get advantageous terms, and develop strong relationships with vendors.  He cites his new team as one that definitely has a lot going on and that continually seeks to bring good things to UVA.  The Strategic Sourcing Team has also played a particularly helpful role in the past as he learned about Procurement, says Coe, because their role is so central to what Procurement does.

Coe says he’s excited to dive into his new role in Strategic Sourcing, especially because the IT and Scientific Discovery Team is so close to the research function at UVA.  “I’m looking forward to the outreach and relationship-building part of this role,” he says. “UVA’s research community is out there trying to solve things in our world, and I’m happy to be a part of helping them succeed.”

Jennifer Godden, Travel & Expense Card Administrator
What do you do as a Travel & Expense Card Administrator?  


I oversee the functions of the University’s Travel & Expense Card program, which includes administrative tasks and customer service.  I assist cardholders with applying for a card, making changes to their card, and helping with card-related expense and purchase questions.  I also make card limit increases, keep up our card database and records, work with Bank of America, and oversee the annual T&E Card Training. 

Who do you work with regularly?  

I work with all cardholders, so, honestly, I work with everyone. I also work closely with my team members in Travel and Expense.  To maintain our database, I work with the Business Systems Support Team, and the Training Team helps me with creating and improving the annual card training.  

What seasons are busiest, or what rhythms exist in your job? 

Annual Card training is a big marker in my year, and it’s not only in February.  I start reviewing the training in November, then make sure all card records are up to date, clearing up inactive cardholders as much as possible.  There’s a lot of work involved in getting things where they need to be before training starts.  Once training begins in February, it’s non-stop, all hands on deck; I’m living and breathing cardholder training!  Outside of training season, it comes in waves along with the purchasing trends at UVA:  it’s slower in the winter when people aren’t traveling as much, and there are times of the year when more expenses occur. 

What might surprise people about the work you do/this role/your department or area? 

For one, what goes into the T&E Card training.  Another thing is how far spread the card program is:  it touches all departments.  We have 2500 cards out there!  This means I could be working with anyone at any time, and the situations they encounter using their cards are vastly different (think of faculty who go to remote places to do their research). 

What do you like best about working in UVAFinance? 

I like the way that I truly feel connected as part of the team.  I see myself as a part of Finance and as a part of our processes.  I feel cared for as a person because, on this team, we have flexibility and work/life balance.  Even though UVAFinance has faced challenges over the last few years with the shift to hybrid work, I still feel connected to the organization.  

How do you connect your work with the UVA Finance Values? 

The biggest connection is how important customer service is to me.  Excellent service means I care for people as individuals and give the cardholders the best experience possible.  It feels so great when I hear people are happy with the service they received.  At my core is the value of treating people with kindness, and understanding that our customers don’t have the same knowledge level as we do when it comes to the card; we help them where they are.  Those values are supported in UVAFinance and that’s the work I want to do:  keeping my colleagues and customers first.

What do you do as a project manager?

A Project Manager typically leads and organizes initiatives that functional teams want to implement with a defined timeline. In Finance, that means working with our teams in areas such as Treasury, Disbursements, or Supplier Diversity (to name a few) locally or in our business units across the university to gather points of inefficiency in their work and discuss collaboratively how to execute a new or improved solution. Enablement is the key word for me in identifying what I do daily. It all comes back to enabling people in our organization to optimize and get the best results with the least waste. The best way to do that is to define a project that tackles situations that are less than ideal.


Who do you work with regularly?

Six months into this role, I've been thrilled to be able to meet with most of our teams in central finance to understand their needs both operationally and with support from neighboring functions. There is likely at least one project in FY24 for every aspect of UVAFinance, which is exciting because it allows me to learn about the priorities of each area and how they integrate into one model, one Finance.  Prioritization is critical in the work that our team conducts. I work with teams internal to UVA Finance on priorities that are determined by senior leaders, but all of that work funnels from our schools and units and how users navigate Workday, Marketplace, payroll needs, and vendor registration, again to name a few. Our monthly Fiscal Administrators' meetings help establish many of those needs and will drive projects in our area.  (See the UVAFinance Projects Dashboard on the website.)

What might surprise people about the work you do?

The importance of considering how others work. Angela Knobloch and Patty Marbury have facilitated DISC behavioral workshops for our organization. It’s been a transformative concept not only for our team but across Finance because it resets the baseline of how to treat one another in the workplace so that we aren’t all coming to problems and solutions in the same way. It has encouraged empathy on a larger scale. Learning my own workplace behavioral style has given the Continuous Improvement portion of our tagline a new meaning even if I am relatively new to Finance. If I can keep DISC in mind when I approach the fundamentals of project management (initiating, monitoring, and closing projects, gathering information, and setting timeframes for my teams), I can do that with the mindset that each person in working groups can bring different strengths to enable the best possible final product.


In that vein, I read "The People Side of Change" when I first started in this role. It was a concise study of the services our team provides. Ideas ranging from making sure that preferred senders and receivers of information are considered and that resistance and comfort of individuals are measured within overarching value systems are things we can consider and ultimately can be advantageous to all involved. I would recommend it for any change professional and those looking to gain key skills in empathizing with colleagues. 

What do you like best about working in UVAFinance? 

Since I was an undergraduate student, understanding the operations of a university has seemed complex and an interesting challenge. How the community that higher education roots itself in is galvanized in learning requires continuous investment to continue to offer the highest value possible. It has led me to an early career move in economic development and now administration. I really enjoy navigating the current and future needs of our business officers doing the work locally in the units. In hearing stories of where departments have been, who shaped them, and what they expect to challenge them moving forward is a wonderful part of the learning process. And of course, I have been welcomed with open arms, and been given great coaching, and I am very excited for the next few years. 

How do you connect the work you do with the UVAFinance values?


Strategic Continuous Improvement is one of our core values. Making sure our team can consider processes from end to end by asking questions related to the purpose and the resulting value is the heart of why we exist in UVAFinance. I want to connect with others by listening intently to their concerns as well as their positive outcomes. It may be the work we do, but I also value the relationships that will come from it and the trust that is derived from it.

Mass System Access Requests will move to Workday in late January

Look for this in late January

Beginning late this January, users who need to request more than 25 finance security roles will be able to do so within Workday Finance’s System Access Request app, instead of emailing Ask Finance
Users will upload the mass upload template in Workday when they make their request (they will be prompted whether their request is for 25+).


For users, not much will change besides where they submit their mass requests.  However, the change will allow the Workday Support Team to automatically capture the approvals required to assign roles and reduce manual labor, so the good news is that it should make the process smoother for everyone involved!

Dorsey facilitating growth of UVA’s spending with local small business

If you have a question about the small business landscape in Virginia, the chances are very good that Syd Dorsey has an informed answer. 
 Susan Y. (Syd) Dorsey has a profound and varied background in business leadership, governmental advising, teaching, and consulting, and she’s bringing that experience and expertise to the consulting role she has taken with Procurement and Supplier Diversity Services.


Dorsey is all about making connections and sharing her knowledge and experience, as evidenced by her prolific community service and board posts, ranging from the Virginia High-Tech Partnership to UVA’s own Board of Visitors (2003-2011).

An alumna of the Darden Graduate School of Business, Dorsey is once again contributing to UVA by assisting Procurement in revitalizing its Supplier Diversity efforts. Dorsey first became directly involved with Procurement as a member of a Small, Woman-owned, and Minority-owned (SWaM) Advisory Group in 2020. She further deepened her involvement when she joined us in the summer of 2023 in a consulting capacity at the behest of UVA’s leadership.

The Supplier Diversity Team has already been ramping up its efforts to re-engage local businesses, both in terms of local outreach and in re-instituting some familiar support programs for SWaM businesses, such as supplier training and the SWaM Supplier Expo.

Working closely with Senior Director Mark Cartwright, Dorsey has immersed herself into the landscape of procurement at UVA, visiting with buyers all over Grounds. What she’s hearing has a familiar refrain. “People want to do the right thing,” Dorsey says. “UVA buyers want to support our local business community; they just need the tools and resources that make this easy for them.”

Dorsey has been helping to connect buyers with the information and resources that will enable them to do just that.

The top issue Dorsey wants to refresh in the minds of buyers is our need to seek out small and locally owned businesses when possible. “Over 97% of Virginia’s businesses are small businesses,” Dorsey points out. “When we support small business, it’s a powerful economic driver.” She elaborates that sustaining local business is also intrinsic to President Ryan’s Great and Good plan for 2030.

There is room for the support of small businesses to grow. The Commonwealth of Virginia’s goal for spending with SWaM firms is 42%. For the past decade, SWaM spending across the Commonwealth has averaged 33%.  UVA already spends $44.7 million with local suppliers, but we have committed to increasing the proportion of funds going to local businesses as a part of President Ryan’s local economy working group.

One immediate need Dorsey has seen is surrounding state certification: many small businesses have let their state certification status expire. Without certification, we can’t count the money spent with them toward the larger goal.

Dorsey and the entire team eagerly anticipate engaging more with both our vendors and our partners across Grounds as we move further into 2024. Did You See This? Reporting & Analytics Updates

Released December 14

A new set of Finance Reporting & Analytics Release notes was posted on December 14.  Did you miss it?  We wouldn't blame you if you did!  Here's the full release on the UVAFinance website. 

Here are a few highlights you might find interesting: 

Workday enhancements include two new reports:

  • NEW Award Authorized vs. Plan Amount - Check if the Award budget amount matches the authorized amount of the Award.
  • NEW Supplier Invoices with Cancelled Payments for OSP - a report of Supplier Invoices that have been reissued or have multiple settlements.
  • Plus, several new fields and prompts have been added to existing reports such as:
  • FDM Reference – Funds - Added the new Sponsored Programs Fund Hierarchy.
  • FDM Reference – Project - Added the “Project Budget Manager” and “Project Budget Specialist” fields to the report.
  • FDM Reference – Cost Center - Added the “Last Functionally Updated” field if you need to check when a cost center name or hierarchy may have been changed.
  • Grant Budget vs Actual - Added an “As of Budget Amendment Date” prompt so that reports can be run with the budget as it was at the same point in time and period used for Expenses. 
  • NEW Workday RAD for PIs - This new app is a streamlined version of the existing RAD app for use by PIs.  Upon login by the PI, the app will dynamically filter the data to only their Awards.  Be on the lookout for more info coming in January 2024.
There are a variety of other updates to existing apps including:
  • Workday Account Certification Dashboard - Added a new Sheet to track the status of grant-related Account Certifications.
  • Workday FDM Reference -
  • Added the new Sponsored Programs Hierarchy on the Funds sheet
  • Removed Inactive worktags.  If you need to view inactive tags, use the FDM Reference reports in Workday.
  • Workday Journal Lines - The “Details” Sheet now requires you to select an MBU before the chart will display data.  This was done to improve performance.  You can select one or more MBUs, apply other filters, and select multiple periods as needed.

Two Approver Solution: It’s here!

Thanks to all our testers!

After months of collaborative work and testing with our partners across Grounds, the Travel & Expense Team is happy to announce that a new two-approver business process for expense reports is live as of January 8.

We’re grateful to our testers who partnered with us to identify the best solution possible for both compliance and ease of use (see our testers in this post).  These intrepid folks helped us adjust the process based on the complications they experienced in the first trial run.

We have altered the expense approval business process so that a minimum of two approvers must approve each expense report.  Only the routing has changed, not the way you submit expense reports.  As long as people are in the right roles, the process will proceed smoothly.  Due to the previous work on this process, the majority of schools and units are in good shape with role assignments.

During the first few weeks of the transition to the new process, the Travel & Expense team will be carefully monitoring transactions so that we can help out if/when something gets stuck . . . and we’ll coach you through the changes that need to be made so there aren’t future issues.

Supplier Diversity: Speaking to Entrepreneurs

Wynn-Floyd covered topics like business licensing
and SWAM Certifications in her helpful session.

Procurement's Ajoni Wynn-Floyd was a guest speaker at the Community Investment Collaborative's entrepreneur program this December on behalf of UVA.  
Wynn-Floyd and Mark Cartwright led a session on "How to Sell to Higher Education" to the 30 attendees.  The entrepreneurship program is a collaboration between UVA and the Albemarle County Office of Economic Development.  
Supplier Diversity has been and will continue to be on the move; watch the blog for more information.

Coming this February: Annual T&E Cardholder Training

Mark your calendar!

Annual T&E Cardholder Training is required for all cardholders and will be available February 1-29, 2024. Cardholders will automatically be enrolled in the Workday training and receive a training link by email on February 1st. 

  • If you will be on leave in February, you must submit a T&E Card Change Request Form selecting “Leave” to prevent your card from being canceled for not completing annual training. You will be able to complete the training once you return.
Cardholder supervisors who do not have a T&E Card are not required to take the training. Supervisors will be copied on various training reminder emails for their direct reports who haven't completed the training.


If you are a new cardholder and have received your card between October 1, 2023, and January 31, 2024, you are exempt from this training.
