Updates Coming Soon to Fund Level Hierarchy and UFM Fund Source Hierarchy

Updates for Fund Hierarchies

On July 31, UVAFinance will be making updates to two fund hierarchies in Workday:

  • Fund Level Hierarchy
  • UFM Fund Source Hierarchy

What is a fund hierarchy?

If the term fund hierarchy is new to you, it is simply a way of grouping funds together for reporting purposes.

These upcoming adjustments will help streamline reporting for required state submissions, provide greater clarity in internal reporting, and support leadership with more transparent data for decision-making across the University.

For most users, these changes will not affect day-to-day operations, as the impacted fund hierarchies are not widely used across Grounds. However, if your unit currently uses either of these hierarchies for reporting, please review the changes below to determine whether they may affect your reports.


What is changing?

Fund Level Hierarchy

Current Fund Level Hierarchy values will be renamed to better support reporting needs. If your unit currently uses this hierarchy for reporting, please be aware that some filterable values may change.

UFM Fund Source Hierarchy

This hierarchy will be deactivated because it is no longer in use. If your unit is still using the UFM Fund Source Hierarchy, please notify UVAFinance as soon as possible so we can help you transition to an appropriate hierarchy for your reporting needs.


What is not changing?

The following fund hierarchies will remain unchanged:

  • Fund Sponsored Programs
  • State Fund Hierarchy
  • Expendable Level

More detailed information will be shared closer to July 31, along with additional reminders before the updates are implemented.

3Cavaliers 3.1: A Simpler Approach to Supporting Collaborative Research

Supporting research!
UVA's Office of the Vice President for Research, in collaboration with UVAFinance, is introducing a simpler, more streamlined approach to manage the funding of its 3 Cavaliers (3C) program.  This approach, dubbed "3Cavaliers 3.1," will allow the seed-funding program to continue its mission of promoting high-risk, early-stage research between three UVA faculty members from at least two disparate disciplines, only with less administrative complexity.

With the launch of 3Cavaliers 3.1, UVA researchers, administrators, and finance professionals, will find it easier to manage these projects, as the updated model reduces operational friction and makes it easier to manage projects from award setup through closeout.

What's changed?

Since 2018, the 3Cavaliers (3C) program under UVA's Office of the Vice President for Research has  supported interdisciplinary research by bringing together faculty from across schools and disciplines to pursue innovative ideas and strengthen proposals for external funding. 

The updated 3Cavaliers 3.1 funding model simplifies how collaborative research awards are managed. Rather than coordinating multiple funding sources across participating schools and units, projects are managed within a single award structure in Workday, making financial administration more streamlined and transparent.

What are the advantages of the new model?

The 3C 3.1 model responds to prior administrative complexity by standardizing management of central funding and school match in Workday Grants.

How is funding organized?

Each 3Cavaliers 3.1 seed-funded project includes one Workday Award containing four grants:

  • One Central Funding Grant representing the University's central investment. 
  • Three Cost Share Grants representing the participating schools' or units' contributions.

This structure then allows project teams to track both central funding and school contributions within one award while maintaining clear financial visibility.

How does the funding model work?

3Cavaliers 3.1 awards are funded through a shared investment model:

  • 75% Central Funding provided by OVPR, the President's Office, and the Provost's Office.
  • 25% School Match provided by the participating schools or units. 

Project spending should generally follow this 3:1 funding ratio throughout the life of the award, with final spending aligned proportionally at project closeout.

How should project teams monitor spending?

Project teams are encouraged to review spending regularly throughout the project period using available Workday and reporting tools. Periodic monitoring helps ensure spending remains aligned with the approved funding model and minimizes adjustments during project closeout. 

What types of expenses are supported?

Project funds are intended to support research-related activities consistent with the approved project budget and UVA financial policies. Typical allowable expenses include graduate student and postdoctoral support, student wages, research supplies, travel for research activities, and research services. Certain expenses like faculty salary (including course buyouts), teaching or course development activities, subawards outside UVA, administrative or permanent staff, and student programming are not allowed.

Meet UVA Finance's New Staff Senator, Rasha Ahmad

Rasha and her family

For Rasha Ahmad, serving on the UVA Staff Senate is an opportunity to give back to the University community in a meaningful way. As she prepares to complete her MBA this August, she was looking for new ways to become more involved beyond her day-to-day role. 

With a long-standing interest in volunteering and community engagement, including serving on an Albemarle County Public Schools committee during the school redistricting process, joining the Staff Senate felt like a natural next step.

Through her role in UVA Finance Business Services, Ahmad has developed an appreciation for the people who keep the University running and for the importance of ensuring staff voices are heard.

 During her term, she looks forward to connecting with colleagues across Grounds, learning from their experiences, and helping strengthen communication and collaboration across the University. She hopes to be a thoughtful advocate who listens, represents her colleagues, and contributes to a positive workplace for all staff.

Reminder for UVAFinance: Zoom Workspaces!

Whether you're planning your next day on Grounds or coordinating time with colleagues, reserving the right workspace is available through Zoom Workplace via the Zoom Workspaces feature. Workspace Reservation allows employees to reserve desks, meeting rooms, and other shared workspaces at Carruthers Hall before arriving at the office. Using the interactive Carruthers map on Workspaces, you can quickly view available spaces, choose your desired location, and reserve it.

*Keep In Mind: While reserving meeting rooms is available through Zoom Workspaces, Outlook is generally the preferred option when scheduling meetings with attendees, as it's easier to manage calendar invites, participant lists, and meeting details there.*


Getting Started

Workspace Reservation is available through Zoom Workplace on both the desktop application and via web. 

To RESERVE a workspace:

1. Open Zoom Workplace.

2. Navigate to the Workspaces tab on the left side of the screen.

3. The Carruthers map will populate showcasing desk and meeting room layouts.

4. Click on the date/time dropdown menu to view space availability on the Workspaces map for the appropriate day and time.

5. Click on the Floor1 or Floor2 dropdown menu towards the top of the screen to toggle between the floors. Note: You may need to select the 'Carruthers Hall' dropdown menu to view both floors.

6. Browse the map or available workspace list. Workspaces will appear red when in use or reserved, and green when available for reservation.

7. When you've decided on the space you want to reserve, click the blue + Reserve button in the upper left-hand corner. You'll be prompted to pick whether you're reserving a desk or room.

8. Under the Reserve a room/desk screen, enter your reservation details (date & time), the appropriate room/desk name, and floor

9. Click the blue Reserve button to finalize your reservation!


Other Features

Zoom Workspaces has a few other features that make reserving and viewing reservations even easier. 

Users can toggle between map view and timeline view using the dropdown menu to view reservations from a physical or temporal view. Below is a snapshot of what the timeline view displays.

Zoom Workspaces also allows you to view your upcoming reservations using the 'My reservations' option in the upper right-hand corner of the screen.

Hopefully you'll find this Zoom Workspaces feature helpful when deciding on a space for your next collaborative meeting or scouting out a solo desk area the next time you're in the office.

Anaplan Instructor-Led Training Available in Workday

It's training time!


Welcome to FY2027!  The transition from Adaptive to Anaplan is entering its next phase, and several important milestones are approaching for budget planners.



Instructor-Led Training Now Open

Self-paced Anaplan training was assigned to current Adaptive users in Workday on June 11, and the first sessions of instructor-led training began July 7.

All budget users are encouraged to register for a training session through Workday. These sessions provide an opportunity to become familiar with Anaplan before the new planning tool goes live.

Key Dates to Know

Date Milestone
July 7–23 Instructor-led Anaplan training
August 3–15 Planned downtime during the transition from Adaptive to Anaplan
August 17–29 Post-conversion remediation and data validation. Refreshes to the Working Budget in Workday, UBI, and the data warehouse will be paused during this period.
August 19–September 16 Weekly Anaplan Office Hours, Wednesdays from 1–2 p.m.

Before the Transition

FP&A encourages units to update their FY2027 budget forecasts and multi-year financial plans in Adaptive before the August conversion.

Completing forecast updates during July will help ensure your data is ready when Anaplan becomes available, allowing you to spend more time learning the new system and preparing for the FY2028 budget development cycle.

Good to know: Once employee salaries are updated in Workday, Anaplan will automatically update salary information in the Working Budget.

If you have questions about updating your forecasts or preparing for the transition, contact your FP&A budget analyst before the August cutover.

FP&A and the Business Intelligence team will continue providing updates through email communications and regular office hours as the Anaplan implementation progresses.

Welcome to UVA Finance, Skylar Stebbins

UVAFinance is pleased to welcome Skylar Stebbins to the team as an audit liaison.

Stebbins,
born in Newport News, Virginia, grew up in a military family and spent most of her life in the Hampton Roads area. She graduated from Virginia Commonwealth University and began her career with the Virginia Auditor of Public Accounts, where she has developed expertise in auditing and financial analysis over the course of four years. 

Stebbins continued her professional journey as a Sales and Use Tax Auditor. Although she did not initially anticipate a career in tax auditing, she soon discovered an appreciation for the problem-solving aspects of the field. She values the challenge of analyzing information, rapidly acquiring new concepts, and synthesizing details to develop effective solutions. 

With a specialization in data analysis and experience conducting audits for various higher education institutions, Stebbins is excited to serve as the Audit Liaison and bring her experience to UVA Finance. She looks forward to learning how the various areas of Finance collaborate to support the University and seeks to gain exposure to different functions.

As she prepares to relocate to Charlottesville, Stebbins looks forward to experiencing a new part of Virginia. Having always considered herself something of a transient adult, she is excited to live in a mountainous area for the first time and explore the opportunities the region offers.

Outside of work, Stebbins is an lifelong gamer with a particular interest in retro video games and collecting classic titles. She enjoys massively multiplayer online (MMO) such as Final Fantasy XIV Online and simulation games like Animal Crossing and City Skylines

Travel is another passion. Stebbins has visited Japan twice, with Miyazaki being among her preferred destinations. After studying Japanese for four years, she explored several cities throughout the country, including Tokyo, and experienced the culture directly. She has also traveled to the Bahamas and enjoys discovering new locations closer to home. A notable road trip took her from Midlothian, Virginia, to Baton Rouge, Louisiana. Of the destinations she visited on that trip, New Orleans is a particular favorite due to its rich history, vibrant art scene, murals, and distinctive character. She especially appreciated the city’s public transportation and observed similarities in its creative energy and culture to that of Richmond.

As she begins her journey with UVA Finance, Stebbins is eager to contribute to the team's success, support essential processes, and further expand her skill set. She looks forward to assuming new responsibilities, gaining experience in additional areas, and pursuing opportunities for professional growth and development.

Upcoming: New Fiscal Stewardship Training

Heads up:  New training is coming!

A new fiscal stewardship training will be offered starting this summer and into the fall. This instructor-led training will be led by JJ Sullivan, the Director of Compliance, and last approximately 30 minutes with additional time for Q/A.


We encourage all fiscal administrators to attend to learn about fiscal stewardship, learn about fiscal stewardship in action, and have practical takeaways for application in day to day work.

One of the new features in the upgraded Concur booking tool allows employees to plan multiple bookings of your trip together. Book the flight, hotel, and car for your business travel under one Trip in Concur to streamline and simplify the booking process.

As a reminder, TravelUVA and Concur should only be used for UVA business travel.

Note: The guest booking feature has not yet been migrated to the new Concur interface.

Chris Peper Appointed as Assistant VP for Financial Planning & Analysis

Chris Peper appointed Assistant VP for Financial Planning and Analysis
Congrats Chris!
We’re very excited to share that Chris Peper has recently been appointed Assistant Vice President for Financial Planning & Analysis! 

Those across the University may already know Peper through his interim work with Financial Planning & Analysis. During that time, he provided strong leadership and thoughtful partnerships to schools, units, and senior leaders across UVA.

Since joining the UVAFinance Team in 2022 as Director of Budgets and Planning, Peper has become a trusted advisor and collaborator throughout the Academic Division. Drawing on more than a decade of experience in the School of Education and Human Development, where he most recently served as Senior Director of Finance, he brought a broad understanding of the University’s academic mission and operations to his work in Financial Planning & Analysis.

Over the last four years, Peper has helped strengthen budgeting and planning processes, supported strategic efforts, and fostered productive partnerships across the University. In his interim role, he successfully led the University’s budget development process while helping UVA leadership navigate essential financial priorities to position the University for continued success. 

Please join us in congratulating Peper on his well-deserved appointment as Assistant VP for Financial Planning & Analysis. We are looking forward to his continued leadership and the positive impact he’ll have both within Finance and the greater University community.
